Why connecting your email is the most important setup step — how the AI uses it

Why Connect Your Email?

Your dispatch email is how the AI starts working for you. Once connected, the AI can:

  • Read incoming load offers from brokers and evaluate rates automatically
  • Respond to emails on your behalf — counter-offers, status updates, booking confirmations
  • Follow up on invoices — send payment reminders, escalate aging receivables
  • Handle check calls — respond to "where's my driver?" emails with real-time GPS data
  • Extract load details — pull origin, destination, rate, dates, equipment type from broker emails without you typing anything

Without email connected, the AI can't see what brokers are sending you. It's like hiring a dispatcher but not giving them access to the inbox.

What Happens When You Connect

  1. The AI reads your inbox — it identifies broker emails, load offers, rate confirmations, and invoices
  2. It categorizes everything — load offers go to the Booking Assistant, payment inquiries go to Accounting, status requests get auto-responded to
  3. It starts suggesting actions — "Broker X offered Dallas→Houston at $2,100. Market rate is $2,350. Counter at $2,300?"
  4. Over time, it learns your patterns — which brokers you prefer, what rates you accept, how you negotiate

What the AI Does NOT Do With Your Email

  • It does not send emails without your approval (unless you've enabled auto-mode for that task type)
  • It does not read personal emails — it only processes emails related to your carrier operation
  • It does not share your email content with anyone outside your organization
  • It does not delete or modify your existing emails

Supported Email Providers

Gmail

  1. Go to Settings > Email > My Accounts
  2. Click Connect Gmail
  3. Sign in with your Google account
  4. Grant Freigent permission to read and send emails
  5. Done — emails start syncing immediately

Outlook / Office 365

  1. Go to Settings > Email > My Accounts
  2. Click Connect Outlook
  3. Sign in with your Microsoft account
  4. Grant Freigent permission
  5. Done

Other Email Providers (IMAP)

If you use a different email provider (Yahoo, custom domain, etc.):

  1. Go to Settings > Email > My Accounts
  2. Click Connect Other Email
  3. Enter your IMAP server settings:
    • IMAP server address (e.g., imap.yourdomain.com)
    • Port (usually 993 for SSL)
    • Your email address and password
  4. Enter your SMTP server settings (for sending):
    • SMTP server address
    • Port (usually 587 for TLS)
  5. Done

If you're not sure about your IMAP/SMTP settings, check with your email provider or IT department. Most providers have a help page with these settings.

Freigent Branded Email (Free)

Every Freigent organization gets a free professional email address:

  • Format: [email protected]
  • Or a custom subdomain if you've set one up during registration

This is useful if:

  • You don't have a professional dispatch email yet
  • You want a dedicated email for AI-handled communication
  • You want to keep your personal email separate from dispatch

The branded email works alongside any connected external email — you can use both.

Tips for Best Results

Use a dedicated dispatch email

If possible, connect the email address that brokers send load offers to. If that's your personal email, consider setting up a separate [email protected] and forwarding broker emails there.

Let the AI learn for a week

The first week, the AI is learning your patterns — which brokers you work with, what rates are normal for your lanes, how you negotiate. Keep it in Suggest mode and just approve or modify its recommendations. By week 2, its suggestions will be much more accurate.

Don't worry about old emails

When you first connect, the AI scans recent emails to build context. It won't go back years — just the last 30 days of relevant messages. This gives it enough context to understand your current broker relationships without overwhelming the system.

Security

  • Email credentials are encrypted at rest and in transit
  • OAuth connections (Gmail, Outlook) use industry-standard OAuth 2.0 — Freigent never sees your password
  • IMAP credentials are stored encrypted in your organization's isolated database
  • All email processing happens on Freigent's servers — no third-party email processors
  • You can disconnect your email at any time from Settings > Email
