How to accept a carrier's quote from ChatGPT or Claude (brokers)

Brokers - how accepting a carrier's quote works in chat, the checks Freigent runs first (the carrier's ask, your ceiling), the carrier warning it shows before Send, and what each refusal means.

For brokers. Freigent drafts the acceptance, you read the email you are sending, and it sends only after your explicit accept. On the free plan, Freigent adds one line below your reply ("Powered by Freigent: ...", with a freigent.ai link) and tells you after sending. The answers below are real, from a test account (Broker Lab); the rates are example numbers.

Ask

Accept the Ridge Haul quote at $2,600.

Freigent drafts the reply and shows it to you:

Draft ready. Nothing was sent.

Say accept (or press Send on the card). The send result starts with the delivery line ("Sent to ..." on a real account; "Simulated for ..." on a test account) and records the booking:

Recorded as a booked load at $2,600.

In the current plugin (1.0.11) the accept does not put the carrier on your load; Freigent says so and how to finish:

The load was not covered: the quote is not matched to one of your loads. Assign the carrier in Freigent (Loads, Find carrier). Replying by email does not book the load in Freigent.

"Recorded as a booked load" means the quote is recorded as booked on the offer; the load in Freigent gets its carrier when you assign it there.

Then send the carrier your rate confirmation: Freigent does not send it for you today (more).

In testing (not in 1.0.11): accepting from the load card also puts the carrier on the load, and the answer says so, for example "Load LAB-9001 is now covered by Ridge Haul Synthetic Carrier at $2,600."

The carrier check: a warning before Send

When you accept, Freigent checks the carrier: first your carrier list, then FMCSA by their DOT or MC. If something is off, you still get the draft, with a warning above Send (and in the chat). Sending is your call. The warning never goes in the email. The exact wording:

  • Not on your carrier list (or no MC or DOT on file for them):

Carrier authority not checked: this carrier is not on your carrier list. Add their MC or DOT to your carrier list and Freigent checks FMCSA for you.

  • FMCSA shows a problem, for example no active authority or insurance under the federal minimum: "FMCSA shows ... Check the carrier before you book; the call is yours."
  • FMCSA could not be reached:

Freigent could not check this carrier with FMCSA right now. Check the carrier before you book.

What it will not do, and what it says

  • Pay more than the carrier asked. A higher number named inside the carrier's email is not their quote:

Not drafted. The carrier asked $2,600, so accepting means $2,600, not $2,750. A higher amount named inside a carrier's email is not their quote. To pay more than they asked, the broker does it in the Freigent app. Nothing was sent.

  • Go over your ceiling (the customer rate less your minimum margin, 8% unless you set one), or put the ceiling or the customer rate in the email.
  • Counter at or above the carrier's ask.
  • Send anything you have not approved.
