Setting Up Workflow

Get the work queue running, automation settings, autonomy, digest

Workflow starts working as soon as your org has data flowing (email connected, loads and drivers in). This page is the one-time setup that shapes how it behaves.

1. Connect Your Email

Most workflow tasks are born from email, broker offers, rate confirmations, POD attachments. Connect the inbox you actually use for dispatch:

2. Set Automation Per Department

Open Workflow → Automation (the settings page in the app). Each department (dispatch, safety, accounting, compliance, maintenance, communication) has its own automation mode, and within each you can set individual task types.

Start where you are comfortable:

  • Suggest-only everywhere is a perfectly good permanent home. Many carriers run in AI Approve mode for years and are happy.
  • Turn things up per task type as trust builds, status updates and reminders first, money-adjacent work later or never.

3. Decide How Far Autonomy Goes

If you are on a plan with AI autonomy, the autonomy level decides which cleared recommendations execute without waiting for you. The gate considers your org's level, the task type's eligibility, and the AI's confidence, low confidence always falls back to a human.

Nothing auto-executes out of the box for money or safety actions: invoice approvals and send-offs, safety finalizations, and similar high-stakes actions are human-held by design.

4. Turn On the Daily Digest

Once a day (13:00 your time), Freigent emails a digest of what the queue did, what was handled, what needs you, what escalated. It is on by default; toggle it in settings if you would rather live in the queue alone.

What Fires First

With email connected and a load or two in the system, expect the earliest tasks to be:

  • Broker offer and rate-confirmation handling (draft replies waiting for your approval)
  • Follow-up reminders, POD not received, check calls, status updates
  • Compliance dates coming due (registrations, inspections, permits)

The longer Freigent runs, the more the deadline and escalation engines take over the nagging work, things re-fire and escalate on their own schedule, not yours.
