When the extension finds a load that scores above your threshold (default: 70 points), it can email the broker automatically — before you even pick up the phone. Here's how it works.
How It Works
- Load detected — The extension scans the load board (DAT, Truckstop, or any supported board) and scores each load against your preferences.
- First email sent automatically — If a load scores above your threshold and the broker has an email on file, Freigent sends a personalized first outreach email on your behalf. This happens instantly — no manual drafting.
- You continue the conversation — Broker replies land in your Freigent inbox (and your connected email). You pick up the thread from there — negotiate rates, confirm details, close the deal.
The first email is the only one Freigent sends automatically by default. Everything after that is your conversation. If you want the AI to handle the full negotiation, you can enable that in your automation settings.
What the First Email Contains
The outreach email is built from your email template and the load details:
- Pickup & delivery — cities, states, dates
- Rate — the posted rate or your counter-offer
- Equipment — van, reefer, flatbed, etc.
- Your company info — name, MC number, contact details from your profile
- Custom message — whatever you've written in your email template
The email is sent from your connected organization email address, so replies go straight to you.
Requirements
To use email from the extension, you need:
- An email connected in the Freigent app — Go to Settings → Email and connect Gmail or Outlook.
- An email template — Set up in the extension's options page under Communications. This is the template Freigent uses for the first outreach.
- The extension toggled on — The auto-responder must be active for emails to send.
Email vs. Phone
The extension decides whether to email or call based on what contact info is available for the broker:

Customizing Your Template
Your email template controls what the first outreach says. You can edit it in the extension's Options → Communications tab.
Templates support dynamic variables that auto-fill per load:
{pickupCity}/{deliveryCity}— origin and destination{pickupDate}— when the load needs to be picked up{rate}— the posted rate{senderName}— your name{companyName}— your company name{phoneNumber}— your contact number
Automation Levels
Freigent supports different levels of email automation:
Semi-Manual (Default)
Freigent sends the first email. You handle everything after — replies, counter-offers, booking confirmation. This is what most dispatchers start with.
AI-Assisted
The AI drafts reply suggestions based on the broker's response. You review and approve before they send. Saves time on repetitive back-and-forth.
Fully Autonomous
The AI handles the entire email negotiation — counter-offers, rate discussions, booking confirmation. You set rate thresholds and the AI works within them. You approve the final booking.
You can set your automation level in Settings > Automation in the main Freigent app.
Troubleshooting
Emails not sending?
- Check that your email is connected at Settings → Email
- Make sure the auto-responder toggle is ON in the extension popup
- Verify you have an email template set up in Options → Communications
Broker not receiving emails?
- Check your sent folder — the email should appear there
- The broker's email may be invalid or bouncing
- Some brokers filter automated emails — adding a personal touch to your template helps
Want to disable auto-email?
- In the extension popup, you can toggle email sending off while keeping phone calls active
- Or adjust your scoring threshold so fewer loads trigger outreach
