Overview
Assets in Freigent are your drivers, trucks, and trailers — the physical resources that move freight. Asset management covers adding them to the system, keeping their information current, and tracking their availability and compliance status.
Adding Assets
There are three ways to add assets to Freigent:
1. Individual Form (Best for 1-5 assets)
Click "Add Driver," "Add Vehicle," or "Add Trailer" on the respective page. A form opens where you fill in the details.
For drivers, the minimum to start dispatching:
- First and last name
- Phone number
- CDL class (A, B, or C)
For trucks:
- Unit number or name
- Year
- Equipment type (dry van, reefer, flatbed, etc.)
For trailers:
- Name or number
- Trailer type (dry van, reefer, flatbed, step deck, etc.)
You can add more details later — CDL expiration, VIN, insurance, maintenance history. But the minimum gets you dispatching immediately.
2. CSV Import (Best for 5+ assets)
Upload a spreadsheet with all your assets at once:
- Go to Assets > Drivers > Import (or Vehicles/Trailers)
- Download the CSV template
- Fill in your data (or export from your current system)
- Upload the file
- Map your columns to Freigent's fields
- Preview the data and confirm
The system validates each row and flags issues (missing required fields, invalid formats) before importing.
3. ELD Sync (Coming soon)
If you connect your ELD (Motive, Samsara, Geotab), Freigent can pull your driver and vehicle roster automatically. No typing, no spreadsheets — your fleet data syncs directly.

Driver Profile
Each driver's profile contains:
Personal Information
- Name, phone, email
- Date of birth
- Address
- Language preference (English, Spanish, French)
- Emergency contact
CDL & Compliance
- CDL number, state, and expiration date
- CDL class and endorsements (Hazmat, Tanker, Doubles/Triples)
- Medical certificate expiration
- Drug & Alcohol Clearinghouse status
Employment
- Status: Active, Inactive, On Leave, Terminated
- Driver type: Company driver, Owner-operator, Lease
- Hire date
- Pay type (per mile, percentage, hourly, salary) and rate
Performance
- On-time pickup/delivery rate
- Safety score
- Load history
- Customer feedback
Driver Status
A driver's availability status is tracked in real-time:
- Available — ready for a new load
- Assigned — has a load but hasn't picked up yet
- In Transit — on the road with a load
- At Pickup/Delivery — at a shipper or receiver
- On Rest — in an HOS rest period
- Off Duty — not working
- Inactive — not currently driving (leave, terminated, etc.)
Inviting Drivers to the App
When you add a driver, you can send them an invite to download the Freigent mobile app. They get a text or email with a download link and login code. Once they install the app, they can receive load assignments, update status, and upload documents.
Vehicle Management
Vehicle Profile
Each truck or tractor has:
Basic Info
- Unit number, VIN, make, model, year
- Vehicle type (tractor, straight truck, box truck, flatbed)
- Color, license plate, license state
- Current mileage
Fuel & Performance
- Fuel type (diesel, gas, electric, CNG)
- Fuel capacity
- Miles per gallon (MPG)
Financial
- Purchase date and price
- Current value
- Depreciation tracking
Compliance
- Insurance policy number and expiration
- Registration expiration
- Inspection expiration
Equipment
- ELD device ID
- GPS device ID
- Reefer unit (yes/no)
- Liftgate (yes/no)
- Chains (yes/no)
Maintenance
- Last service date and mileage
- Next service date and mileage
- Maintenance history log
Vehicle Status
- Active — in service, available for loads
- Maintenance — in the shop, temporarily unavailable
- Inactive — parked, not in service
- Sold — no longer in the fleet
Trailer Management
Trailer Profile
Each trailer has:
- Name/number, VIN, make, model, year
- Type: Dry van, Refrigerated, Flatbed, Step deck, Lowboy, Tanker, Hopper, Curtain side
- License plate and state
- Length (feet) and weight capacity
- Inspection dates and status
Trailer Assignment
Trailers can be assigned to specific trucks or left in a pool for flexible assignment. The AI considers trailer type and availability when matching loads — a reefer load won't get assigned to a truck pulling a dry van trailer.
Bulk Operations
Bulk Import
All asset types support CSV import with:
- Template download (pre-formatted CSV with correct headers)
- Drag-and-drop upload
- Automatic column detection
- Field mapping (match your CSV columns to Freigent's fields)
- Row-by-row validation with error reporting
- Preview before final import
Bulk Edit
Select multiple assets and update common fields at once — useful for things like updating insurance expiry across your whole fleet.
Document Management
Each asset can have documents attached:
Driver documents:
- CDL (front and back)
- Medical certificate
- MVR (Motor Vehicle Record)
- Employment application
- Drug test results
- Training certificates
Vehicle documents:
- Registration
- Insurance certificate
- Inspection reports
- Maintenance records
- Title
Trailer documents:
- Registration
- Inspection reports
- Maintenance records
Documents can be uploaded as photos or files. The AI can classify document types automatically and extract key information (expiry dates, policy numbers) using OCR.
Availability Calendar
The availability view shows all your assets and their status on a timeline:
- Which drivers are available today, this week
- Which trucks are in the shop
- Which trailers are committed to loads
- HOS-based availability (when will a resting driver be available again)
This feeds directly into the dispatch engine — when the AI looks for a driver for a new load, it checks real-time availability first.
Compliance Tracking
Freigent tracks expiration dates across all assets and alerts you:
- 60 days out: Reminder notification
- 30 days out: Warning, task created
- 7 days out: Urgent alert
- Expired: Asset blocked from new assignments
This covers CDL, medical cards, insurance, registration, inspections, and any other dated compliance documents.
