Send a rate confirmation to a carrier (brokers)

How brokers send a rate confirmation (rate con) to the carrier on a covered load in Freigent, what prints on it, your MC line, your own template, and what holds a send.

For brokers. Today Freigent does not send rate confirmations for you: after you cover a load, send the carrier your rate confirmation yourself. Sending a rate con from Freigent (from ChatGPT or Claude) is in testing and not in the current plugin (1.0.11); this page covers what is ready for it and how it will work.

Covering a load

A load gets covered when you assign the carrier (Loads, Find carrier). Covering a load straight from an accepted quote in ChatGPT or Claude needs the quote matched to that load first, which is not part of the current plugin (1.0.11).

A sent rate con is kept: deleting a load

A rate confirmation Freigent has recorded on a load is kept as the record: it cannot be removed or relabeled. A load can be deleted only while it has no carrier and no rate confirmation.

What prints on it (when Freigent sends one)

The rate con carries the load's real values: load number, carrier rate, origin and destination, pickup and delivery dates and times, equipment, weight, commodity, the carrier's name and MC, and your company name and MC. A value the load does not have is left blank, never filled with a placeholder.

Your MC line. If your MC number is not on file, the rate con prints "MC not on file" in that spot instead of a blank, and Freigent warns you before you send. Add it with Add your MC in the rate confirmation section of Setup.

Use your own template

Freigent has a clean rate con of its own. To use yours, upload your fillable PDF in Setup, in the rate confirmation section. Freigent maps your boxes to the load's values; check the mapping there and fix any box it guessed wrong.

When Freigent sends a rate con, it is held, not sent, if your template has no box for a value the carrier must see (the carrier rate, load number, origin, destination or pickup date) or a value would be cut off in its box. Freigent never quietly sends a different document instead of your template.

From ChatGPT or Claude

Sending a rate con from the Freigent plugin in ChatGPT or Claude is not part of the current plugin (1.0.11); it is in testing. In testing, it works like this:

  • Preview first. Asking to send a rate con shows a preview card (load, carrier, email address, carrier rate, and which template it uses). Nothing is sent until you click Send on the card or say to send it.
  • Carrier check, as a warning. Freigent checks the carrier against your carrier list, then FMCSA by their DOT or MC. If the carrier is not on your list, FMCSA could not be reached, or FMCSA shows a problem, the preview says so above Send. The warning does not stop the send: you decide.
  • MC warning. The preview shows the same "MC not on file" warning, above Send.
  • Already sent. A second rate con for the same load needs you to ask to resend.
