Broker Management

Brokers are the carriers' main source of loads. Freigent tracks every interaction with every broker — their rates, pay

Overview

Brokers are the carriers' main source of loads. Freigent tracks every interaction with every broker — their rates, payment speed, reliability, and negotiation patterns — so the AI can make smarter decisions about which loads to take and how to negotiate.

Broker Directory

Every broker you work with gets a profile in Freigent. The profile includes:

  • Company name and contact info — dispatch email, billing email, phone
  • MC number and DOT number — for verification
  • Status — Active, Inactive, Suspended, or Blacklisted
  • Credit score — from broker credit services (if available)
  • Payment terms — Net 30, Net 15, quick pay, etc.
  • Notes — anything your team wants to remember about working with them

Profiles are created automatically when the AI processes a new broker email. You can also add brokers manually.

Broker Scoring

Freigent calculates a reliability score for every broker based on real data:

Score Components

Payment reliability — Do they pay on time? How often are invoices late?

  • Paid within terms: high score
  • Consistently 15+ days late: score drops
  • Disputed invoices: significant score penalty

Rate fairness — Do they offer market-rate loads or consistently lowball?

  • Rates near or above market: high score
  • Consistently 15%+ below market: score drops

Communication reliability — Do they respond to emails? Do rate confirmations match what was agreed?

  • Quick responses, accurate paperwork: high score
  • Ghosts after booking, wrong details on rate con: score drops

Load accuracy — Does the actual load match what was described?

  • Weight, dimensions, pickup/delivery times match: high score
  • Frequent changes after booking, wrong addresses: score drops

How the AI Uses Broker Scores

When evaluating a load offer, the AI considers the broker's score:

  • High-score broker (75-100): AI is more flexible on rate, faster to accept. Good brokers get priority because they pay reliably and don't cause headaches.
  • Medium-score broker (50-74): AI negotiates normally. No special treatment, no red flags.
  • Low-score broker (25-49): AI pushes harder on rate to compensate for the risk. May require quicker payment terms.
  • Flagged broker (0-24): AI warns you before accepting. May auto-decline depending on your settings.

Score Visibility

You can see any broker's score in their profile. The score breakdown shows exactly why they scored the way they did — which loads were late, which invoices were disputed, etc.

Blacklisting and Whitelisting

Blacklist

Add a broker to the blacklist and the AI will:

  • Auto-decline their load offers
  • Flag if they email from a different address
  • Never assign their loads to drivers
  • Block rate negotiations with them

Use this for brokers who consistently don't pay, have fraud reports, or that you simply don't want to work with.

Whitelist / Preferred Brokers

Mark a broker as preferred and the AI will:

  • Prioritize their loads when multiple options are available
  • Accept rates slightly below market (since reliability compensates)
  • Respond faster to their emails
  • Give them priority on capacity when trucks are tight

Broker Communication History

Every email, call, and negotiation with a broker is logged:

  • Full email thread history
  • Rate negotiation transcripts (every offer and counter-offer)
  • Booking confirmations
  • Invoice and payment history
  • Dispute records

This history is available in the broker profile and is used by the AI to understand the broker's patterns. If a broker always counters exactly once and then accepts, the AI knows to skip the first round and open closer to the expected final rate.

Broker Analytics

Reports available for broker performance:

  • Top brokers by volume — who sends you the most loads
  • Top brokers by rate — who pays the best rates
  • Payment speed — average days to payment per broker
  • Dispute rate — percentage of invoices disputed per broker
  • Lane coverage — which lanes each broker covers
  • Negotiation patterns — average number of counter-offers, typical concession amount

How Broker Data Improves Over Time

The more you work with a broker, the better the AI gets at handling them:

  • After 1 load: Basic profile, no negotiation intelligence
  • After 5 loads: AI knows their typical rate range for your lanes
  • After 10 loads: AI knows their negotiation style (hardball vs quick deal)
  • After 20+ loads: AI can predict their final offer within 3-5% accuracy

This is one of Freigent's data advantages. Your broker intelligence is built from real interactions, not industry averages.
